Morrison County Food Shelf (MCFS) Job Description 09/23/18
POSITION: EXECUTIVE DIRECTOR – Food Shelf
REPORTS TO: MCFS Board of Directors
SALARY RANGE: $16.00 - $18.00 hourly
HOURS: Approximately 30 hours per week. Not eligible for benefits.
Education & Training Requirement(s):
Required: High School diploma or GED Equivalent and three years program and volunteer management experience.
Preferred: Associate or Bachelor’s Degree in a related field of study and 1+ years program management experience.
Expectations:
The Executive Director must sympathize with the Christian mission of the MCFS and demonstrate concern for the dignity and respect of all people. S/he must work cooperatively and patiently with clients and volunteers and maintain the highest level of confidentiality. S/he must interpret, explain and implement food shelf guidelines to clients, volunteers and others assisting with the organization.
Accountability:
Executive Director shall be directly accountable to the MCFS Board of Directors/Executive Board. Position will be probationary up to 90 days with a review held by the Executive Board/Board President between 3 and 6 months from the date of hire. Performance review will be held annually as determined by the Executive Board thereafter.
Duties & Responsibilities: [A-D = 60%]
A: Management and supervision of all food shelf operations (Tuesdays, Wednesday, Thursdays*)

E. Communication, Public Relations & Fund Development [E=25%]:

Other:
Executive Director will attend seminars and/or training events required or approved by the MCFS Board of Directors (expenses paid). Additional duties may be required due to holiday distribution items and/or events (Thanksgiving and Christmas, etc.).
*Current Food Shelf hours include: Tuesdays & Wednesdays 10:00 a.m. – 12:00 p.m. and Thursdays 6:00 – 8:00 p.m. Hours may be added or modified as determined by community need and board approval.

- Interviews all clients to assess needs and eligibility
- Schedules, trains and supervises all volunteers
- Maintain all computer hardware and software systems
- Supervise all client intakes, food shelf services and storage systems
B. Food management
- Monitor nonperishable and perishable food inventory weekly
- Order food from food banks, wholesalers and local retailers.
- Supervise/promote food rescue through grocers and restaurants
- Work with local growers, farmers markets and food hub (Sprout) to increase produce donations
- Manage repackaging and labeling of bulk foods.
- Align client shopping lists with food availability and client preferences.
C. Record keeping, finances and reporting
- Supervise weighing and recording of food donations
- Maintain accurate statistics of client information and food shelf usage
- Partner with MCFS Board Treasurer to accurately manage and report operation finances.
- Organize and report financial reports as requested by board members and/or auditors.
- Monitor volunteer check-in
- Provide monthly reports to Second Harvest by the sixth of each month (Coborns, Walmart, Aldi, etc.).
D. Organization
- Attend monthly board of directors meetings, keep all board minutes on file, assist with agenda and reports
- Prepare and present monthly written report to board of directors at monthly board meetings
- Work with board Treasurer to provide accurate financial reports to board of directors and auditors
- Assist with identification, recruitment and training of new board members
- Submit all timekeeping and payroll tracking documents in an accurate and timely fashion
E. Communication, Public Relations & Fund Development [E=25%]:
- Represent MCFS in the community through public speaking engagements, photo opportunities, community and fund raising events, radio, press releases and interviews as requested
- Acknowledge major donations with written note/letter
- Assist with web site, social media, Give MN and other campaigns to maintain current, relevant content.
- Promote and assist with all MCFS events (March Food Share, Party With a Purpose, annual fundraiser and volunteer picnic)
- Work with other area nonprofits and organizations to collect food and cash donations and to advocate for the needs of our clients
- Develop, assist with and or maintain marketing pieces such as brochures, flyers, posters, press releases to promote the services of the MCFS.
- Assist with grant writing and reporting to secure funds to support the needs of the MCFS
F. Maintenance and Cleaning Duties [F=15%]
- Must be able to lift 30-40 pounds, bend and reach to place cases of food on shelves
- Recycle items and break down cardboard
- Must arrange to have appliances and/or equipment repaired as necessary.
- Must maintain a clean environment hospitable to all clients and volunteers (bathrooms, shelves, floors, refrigerator and freezers)
